VeriFactu is an advanced electronic invoice verification system developed by the Spanish Tax Agency. Its main objective is to combat tax fraud and increase transparency in commercial transactions, something that is especially relevant for hotels and other businesses in the tourism sector.

This system requires the complete digitization of billing, eliminating manual methods and ensuring that each invoice issued is unique, unalterable, and easily traceable. For hotels, this means they will need to adapt their current systems or implement new software certified by the Treasury .

How does VeriFactu work in practice?

  • Automation and security: Every time you issue an invoice, your invoicing software should automatically send a record to the IRS. This ensures that the invoice cannot be modified after it's issued and that everything is recorded securely and verifiably .

  • QR code and identifying text: Invoices will include a QR code and text indicating that they have been verified by the Treasury, making it easier for both your customers and the administration to verify their authenticity .

  • Integrity and traceability: The system ensures that each invoice is unique, unalterable, and easily traceable. This protects both your hotel and your guests from potential fraud or errors .

  • Complete digitalization: Invoices or tickets can no longer be issued in Word, Excel, or by hand. Everything must be processed through a certified invoicing program .

Why is it important for hoteliers?

  • Legal compliance: All hotels are required to adapt to VeriFactu if they issue invoices in accordance with Spanish tax regulations .

  • Process automation: Simplifies administrative and accounting management, saving time and reducing errors.

  • Greater confidence: Your guests will be able to easily verify the authenticity of their invoices, which improves your hotel's image and the trust in your services .

  • Avoid penalties: Failure to comply with VeriFactu can lead to fines and problems with the Administration .

What do you need to comply with VeriFactu?

  • Certified invoicing software: You must use a program that meets the technical requirements of the Tax Agency to automatically send billing records to the Treasury .

  • Training and adaptation: It's essential that your team understands the new system and knows how to manage electronic invoices correctly.

  • Integration with POS systems: The POS system must be approved and easy to implement, without interrupting the hotel's daily operations .

Advantages and benefits for hotels

  • Automating the invoice verification process: Fewer errors and greater efficiency.

  • Simplification of administrative procedures: Saving time and reducing manual tasks.

  • More efficient accounting: Greater control of income and expenses.

  • Greater transparency and trust: Your customers and the administration can easily verify the authenticity of invoices.

Modernizing financial management: An opportunity to digitize and optimize resources

When does it come into effect and what are your deadlines?

The mandatory implementation of VeriFactu will be phased in:

  • July 1, 2025: Mandatory for most taxpayers.

  • January 1, 2026: Mandatory for hotels and other businesses subject to corporate tax.

  • July 1, 2026: Mandatory for self-employed workers and small businesses, such as bars and restaurants inside hotels

It is advisable that hotels start preparing as soon as possible to avoid problems when the regulation comes into force.

Risks and penalties for not adapting

Failure to comply with VeriFactu can have serious consequences for your hotel:

  • Financial penalties: Fines from 300 euros to 1% of annual turnover for minor infringements, between 3,000 and 30,000 euros (or between 2% and 10% of turnover) for serious infringements, and up to 50,000 euros (or 20% of turnover) in very serious cases.

  • Tax inspections: The Administration can carry out exhaustive inspections and review previous fiscal years.

  • Surcharges and late payment interest: For taxes not declared correctly.

  • Personal liability: For company directors.

  • Temporary suspension of activity: In particularly serious cases
